  • You own your documents and are responsible for their accuracy.
  • Shared links can be opened by anyone who has them.
  • IdeaBill organizes billing records; it does not process invoice payments.

1. About IdeaBill

These Terms are provided by IdeaBill (“we”, “us”, or “our”). These Terms apply to the IdeaBill website, workspace portal, mobile companion, and shared document pages. By creating an account or using the service, you agree to these Terms. If you act for a business, you must have authority to accept them on its behalf.

IdeaBill helps businesses prepare and organize quotes and invoices, share documents, and record customer responses. The portal handles document creation and business management; the mobile app provides document lookup, sharing, and notifications.

2. Your account

Provide accurate account details, keep your sign-in methods secure, and use only accounts you are authorized to access. You are responsible for activity you authorize through your account. Tell us promptly if you believe your account has been compromised.

A portal sign-in QR code grants access to your account. Scan it only with your own device. Do not share or publish it. Signing in with Google is also subject to Google’s terms and privacy practices.

The service is intended for business use by adults with legal capacity to enter an agreement. Do not create an account if you cannot meet that requirement.

3. Your documents and responsibilities

You retain ownership of the content you provide. You give us permission to store, process, display, and transmit that content as needed to operate the service, including sharing it when you publish a document link.

You are responsible for the accuracy of customer details, line items, amounts, tax rates, discounts, dates, payment instructions, and other document content. Review documents and imported records before saving, publishing, or relying on them. You must have a lawful basis to provide other people’s information.

IdeaBill is not an accounting, tax, or legal adviser, and it does not verify that a document meets every requirement that applies to your business. Keep independent copies of records you need for bookkeeping, tax, or contractual purposes.

4. Shared links and quote responses

Anyone with an active shared link can view the published document and download its PDF without an account. Share links only with intended recipients. Disabling or replacing a link limits future access through that link; it cannot recall screenshots, downloaded PDFs, or copies already shared.

Quote recipients may accept, request changes, or decline. Responses record the supplied name, email, time, and document version. The supplied identity is not independently verified. You are responsible for deciding whether a response is sufficient for your business agreement and for resolving disputes with your customer.

Publishing a revision preserves earlier versions and responses. An accepted quote is converted to an invoice only when the account holder takes that action.

5. Payments and service charges

IdeaBill does not currently collect invoice payments or act as a payment processor. Payments and the underlying goods or services are arrangements between the sender and recipient. A manual “paid” status records the account holder’s entry; it is not bank confirmation.

IdeaBill subscriptions are prepaid: BZD $20 per calendar month or BZD $200 per calendar year, plus the service fee shown at checkout. There is no free trial and no automatic renewal. Each renewal requires your action and a new card payment through OneLink. The service fee covers the gateway percentage and fixed charge, including cent rounding.

Confirmed payments grant access for the purchased period. Early renewals extend your existing expiry date; renewals after expiry start when payment is confirmed. After expiry, your workspace becomes read-only for existing records, while previously shared links and customer responses remain available. Contact info@ideabill.bz about payment errors, duplicate charges, or refund requests. A pending payment should be resolved before another attempt. Any separate card-verification charge is identified before you request it; the gateway documentation does not specify its refund timing.

6. Mobile app and notifications

Notifications are optional and depend on device permission, connectivity, and service availability. Quote alerts and IdeaBill announcements may appear on your lock screen. You can change notification preferences in the app or your device settings.

Push notifications may be delayed, missed, or duplicated. Use your portal and document records to confirm a response or status; do not rely on a notification as the sole record of a transaction.

Apple and Google distribute the mobile apps under their applicable store terms. They are not parties to your quote or invoice arrangements.

7. Acceptable use

Do not use IdeaBill to create fraudulent or unlawful documents, impersonate another person or business, send unwanted communications, upload content you have no right to use, or expose someone else’s confidential information without authority.

Do not attempt unauthorized access, bypass security or rate limits, distribute malware, or disrupt the service. Administrative features are limited to accounts we authorize; ordinary accounts may not use them.

8. Availability and changes

We may update features, perform maintenance, or change integrations. We do not promise uninterrupted or error-free operation. Third-party outages, network problems, and device restrictions can affect availability.

We may restrict or suspend access where reasonably necessary to address abuse, security risks, legal requirements, or a material breach of these Terms. You may stop using the service at any time and contact us to request account closure.

9. Privacy and account closure

Our Privacy Policy explains how information is handled. Account closure and data deletion are separate from signing out or uninstalling the app. Use Account → Delete account in the mobile app or portal to initiate permanent deletion after confirming your identity. See account deletion instructions if you need help.

A recipient seeking a correction to an invoice or quote should normally contact the business that issued it. We do not decide commercial disputes between senders and recipients.

10. Responsibility and applicable law

To the extent permitted by applicable law, the service is provided on an “as available” basis without a guarantee that it will meet every business requirement. You are responsible for reviewing your documents and for the transactions you conduct with customers.

Nothing in these Terms excludes responsibility or limits consumer, privacy, or other rights that cannot lawfully be excluded or limited. Applicable law determines the rights and remedies available to you. Contact us first if you have a concern so we can try to resolve it.

11. Updates to these Terms

We may revise these Terms as the service changes. The date at the top identifies the latest revision. Where required, we will provide additional notice or seek agreement to material changes. Keep a copy of the version relevant to your use.
